Nordic Light Photo Tours - Terms and Conditions
1. Booking and Deposit
A non-refundable deposit, as specified in each tour description, is required upon booking. This deposit must accompany the completed booking form unless stated otherwise in your Booking Confirmation or Tour description.
2. Payment of Balance
The balance of the tour price is due 6 weeks before departure. If the final payment is not received by this date, Nordic Light Photo Tours reserves the right to cancel the booking and retain the deposit. For bookings made within 10 weeks of departure, the full amount is payable at the time of booking.
3. Cancellation by Client
Cancellations must be made in writing, and the date on which Nordic Light Photo Tours receives the email will determine the applicable cancellation charges. The charges are as follows:
42 days before departure: 50% refund
41-28 days before departure: 25% refund
27 days or less before departure: No refund
Specific workshops may have different cancellation policies, which will be detailed in your Tour Booking Confirmation. If not specified, this clause applies.
4. Booking Acceptance
The receipt of a deposit does not imply acceptance of your booking. A contract comes into existence once Nordic Light Photo Tours confirms your booking in writing. Cancellation fees will apply from 90 days before departure as per Clause 3.
5. Alteration or Cancellation by Nordic Light Photo Tours
Nordic Light Photo Tours reserves the right to alter or cancel any tour. If changes or cancellations are necessary, you will have the option to accept the change, take an alternative tour (with a refund of the difference if the alternative tour is of lower value), or withdraw from the contract with a full refund of all payments made.
6. Underbooking and Force Majeure
Underbooking occurs when the minimum number of bookings required to run a tour is not met. Nordic Light Photo Tours will not cancel a tour for this reason less than 30 days before departure. Force majeure refers to extraordinary circumstances beyond our control, such as war, civil unrest, natural disasters, or severe weather conditions.
7. Tour Leader Substitution
If the specified tour leader is unable to attend due to illness or other unforeseen circumstances, a replacement will be provided. If this is not possible, the tour will be canceled, and Clause 5 will apply.
8. Price and Service Changes
Nordic Light Photo Tours reserves the right to change prices, services, or other particulars at any time before entering into a contract with you. Any changes will be communicated before the contract is finalised.
9. Special Requests
Special dietary or other requests should be communicated before departure. Nordic Light Photo Tours will strive to accommodate your needs to ensure a successful tour.
10. Transfers and Flights
Airport or hotel transfers included in the tour cost apply only when participants travel to the specified airport as stated in the tour description. Participants arriving or departing on different flights are responsible for their transfer costs and arrangements. Flight bookings are the client's responsibility, and Nordic Light Photo Tours is not liable for any loss, damage, or expenses caused by airline actions.
11. Tour Flexibility
The nature of the tours requires flexibility, and the itinerary and photo tour description are indicative of what may occur. They are not contractual obligations.
12. Liability for Disruptions
Nordic Light Photo Tours is not liable for any loss or additional expenses caused by travel disruptions due to weather, civil unrest, industrial action, strikes, wars, floods, or illness. Such losses or expenses are the participant’s responsibility.
13. Fitness to Travel
By booking, the client represents that all individuals in their party are fit to travel. Nordic Light Photo Tours reserves the right to assess whether participants can be safely accommodated and may request medical evidence of fitness if deemed necessary.
14. Medical Considerations
Nordic Light Photo Tours does not provide medical personnel on tours. Participants must disclose any medical conditions that may require emergency treatment at the time of booking. While we will work in good faith, Nordic Light Photo Tours does not accept responsibility for medical emergencies.
15. Performance Issues
Any perceived failure in tour performance must be communicated to the tour leader immediately, giving them the opportunity to resolve the issue. Nordic Light Photo Tours commits to addressing concerns in good faith.
16. Travel Insurance
Clients must obtain appropriate travel insurance before participating in a photo tour. This insurance must cover cancellations, personal accidents, injuries, medical and repatriation costs, loss of baggage, and flight cancellations or delays.
17. Travel Documentation
Clients are responsible for possessing valid passports, visas, permits, and certificates, including medical certificates, for the entire journey. Nordic Light Photo Tours provides information and advice on these matters in good faith.
18. Acceptance of Terms
By completing an online booking, you agree to accept all the terms and conditions listed here. The person making the booking does so on behalf of all individuals included, binding them to these conditions.
19. Governing Law
This agreement shall be governed by and construed in accordance with German law, which shall prevail in all cases.
